The Big Lunch 2019

The Big Lunch event is a national initiative taking place on 1-2 June 2019,  and is a great way to get to know your neighbours and build community spirit!

Sutton Council fully supports our community in organising The Big Lunch events, and is waiving the fees for road closures and parking suspensions for Big Lunch street parties taking place on 1-2 June 2019, and those taking place 7 days either side (so between 25th May - 9th June).

As all events taking place on public land require public liability insurance of at least £1m, the Council’s insurer, Protector, have offered to cover event organisers organising Big Lunch street parties for a premium of £50.

We are happy to confirm that the Council will be funding these premiums for Big Lunch events this year (2019), so there will be no cost for event organisers. All of the details required by Protector are requested in the event notification form, so please indicate you wish to be covered through the Council's insurer (Protector) in the Insurance section of the form. This will then be forwarded onto our Insurance Team to process. Please note that any contractors that you use (e.g. caterers, bouncy castle providers, etc) will still require their own public liability insurance.

Make sure you allow plenty of time to plan your event, so that everyone has a good time and stays safe!

To apply for a road closure to hold a Big Lunch street party, you will need to do the following:

1. Conduct a consultation with all residents living/businesses operating on your road you are proposing to close, at least 2 weeks prior to you submitting your application. Letter templates are available here.

2. Submit a Combined Event Notification Form/Risk Assessment to events@sutton.gov.uk (this will then be sent on to our Highways team to process).

  • If your road is a through road, you will need to submit a traffic plan showing the exact extent of the closure and a suggested alternative route for traffic

  • There is a minimum requirement of a ‘road closed’ sign, and please note the Council does not provide road signs.

  • You will need to complete a risk assessment for your road closure. Some suggestions on what to include are: slips trips and falls (e.g. securing cables correctly, clearing rubbish from the ground, making sure that you check the area beforehand, etc); vehicle movement; severe/adverse weather (e.g. strong winds or heavy rain); safety around any gazebos or electronic equipment; and fire safety.

3. If there is on street parking on your road, you will also require a parking suspension. You will need to submit the application to parkingservices@sutton.gov.uk.

The deadline for Big Lunch street party applications is 5pm on Friday 29th March 2019. This is to allow our services to process the road closures whilst adhering to their legal and legislative requirements.

When planning your Big Lunch Street Party, you will also need to consider the following:

  • Noise - Be mindful of the surrounding area, ensuring that any music played is not too loud and doesn't go on too late, as this could lead to noise complaints!
